Terms and Conditions Shows Registration

PLEASE READ CAREFULLY

In these terms and conditions of SHOW submission, Fashion Council Germany e.V., in our capacity as the coordinator of the Berlin Fashion Week Schedule and its service providers are referred to as "we", "us", "our" and the submitting party is referred to as “you”, “your“.

 

By submitting your entry into the Berlin Fashion Week Schedule, you agree to following Terms and Conditions of Event Submission.

  1. You commit to reserve a minimum of 35 guest invites and front row seats for the Fashion Council Germany at your event. These invites and seats will solely serve the purpose for our inhouse organization of the hospitality program, where international and national fashion press and buyers will be invited. Our hospitality team will contact you accordingly, corresponding with the interest of the guests, to communicate an exact number.
  2. You commit to provide space in front of your location for official BFW shuttles (limousines and big busses), to drop off the above-mentioned guests + show guests that take the BFW bus from the previous show. Parking space is a plus, but not mandatory.
  3. To ensure a consistent communication of Berlin Fashion Week to the public, you commit to communicating your show in regard to the Berlin Fashion Week according to the following guidelines.
    1. In all (non social media) publications the Berlin Fashion Week logo must be integrated (e. g. press releases, newsletters, invitations, etc.)
    2. In all publications your releases must refer to the Berlin Fashion Week (e.g. “during Berlin Fashion Week”; “on the occasion of the Berlin Fashion Week”; “as part of the Berlin Fashion Week” etc.).
    3. In all press releases you must include the following term and link: “The show is part of Berlin Fashion Week. Find more information here.”
      Before releasing it, please send us for approval to coordination@fashionweek.berlin
    4. In all social media releases, you must integrate the tag @berlinfashionwe (Berlin Fashion Week). The hashtag #berlinfashionweek is a plus, but not mandatory.
  4. You commit to add the following contacts to your press mailing list:
    1. coordination@fashionweek.berlin
    2. media@fashionweek.berlin
    3. content@fashionweek.berlin
    4. press@fashion-council-germany.org
  5. You commit to provide access for the official Berlin Fashion Week photographers and videographers. They will create content for the BFW website and social media channels. On top we will provide for press and social media usage via the BFW Media Hub. There you can also download and use them for your own communication.
    Our team will contact you accordingly for accreditation and definition of the access.
  6. You commit to send us as soon as possible after Berlin Fashion Week photographic material and/or video material with copyright information. It may be used by us and our service providers in the sole context of documentation, social media, editorial use, integration on www.fashionweek.berlin and reporting of the Berlin Fashion Week. You grant all necessary rights of use for this purpose. We will always state the copyright.
    We will also upload in the BFW Media Hub, which is available for national and international press, buyers and fashion professionals to support you in your PR activities.
  7. You commit to send us no later predefined Communication KPIs. This contains basic Social Media KPIs (available in your professional dashboard) and an overview of your press clippings + reach. The collected data will be used for an After Report for measuring the general and individual reach of each show presented at Berlin Fashion Week. Please note: this report will not be published, but used for internal use (e.g. reporting for the Berlin Senate, to show interested partners how successful BFW is, etc.).

 

After confirming your schedule entry, we will provide further information. If you are unsure about any of the categories or requested data in the template, please contact coordination@fashionweek.berlin  for help. Deadline for the full reporting: 2 months after BFW – the exact date will be communicated via e-mail.

  1. Furthermore, we are entitled to pass on your personal data obtained in the course of Berlin Fashion Week, such as names, photographic and video material with copyright information to third parties (e.g. media, buyers, etc.).

You may have the right to request erasure of your personal data and information. This enables you to ask us to delete or remove personal data and information where there is no good reason for us continuing to keep or process it. If your personal data is necessary, for example in order for us to comply with our obligations or for requirements to be established, enforced or defended, we are not required to delete your personal data.

You have the right to object to our processing of your personal data and information at any time for reasons relating to your personal life, where we are relying on a legitimate interest.

You have the right to withdraw the consent you have provided us with for the purpose of processing your personal data and information. If you wish to withdraw your consent, please contact us at coordination@fashionweek.berlin.

However, we retain documentation on your consent two years after withdrawal. We do also reserve the right to retain your personal data for an extended period of time if deemed necessary to establish, exercise or defend our obligation.
